Hosting Events

Help us to continue offering outstanding tech law events in 2024 and beyond

Firstly, thank you all for the continued support you show SCL. Without you, we wouldn’t be able to produce and execute such worthwhile and valuable events throughout the year.

We are hoping to confirm more events than ever before and for our events to be a success, we need your fabulous venue suggestions.

We would be most grateful if you could put forward any organisation you feel would work for our events. Whether it be the event spaces at your firm, or if you know of any suitable conference spaces – we are open to all your wonderful suggestions!

Benefits of hosting an SCL event:

In return for providing a suitable venue and refreshments, hosts will receive the following benefits:

  • The opportunity to provide a Chair or speaker for the event
  • Profile-raising – your organisation’s name will appear on all promotional materials, with a link to your website
  • Potential publication on the SCL website by writing a meeting report after the event
  • Four complimentary tickets for your colleagues
  • The opportunity to showcase your organisation’s commitment to tech law issues, including to in-house counsel, by offering them access to your state-of-the-art facilities
  • The satisfaction of contributing to SCL’s charitable mission of education and thought leadership

Venue requirements:

  • While our event attendance numbers may vary, we typically require venues capable of accommodating a minimum of 70 people in a theatre-style setup. For our flagship events, this number can range from 80 to 200 attendees.
  • Given that our events often feature panel discussions, we require space for a panel table accommodating approximately 4 to 5 participants at the front of the room.
  • Additionally, we kindly request a registration table and provisions for post-event refreshments.
  • Speakers frequently utilise slides during their presentations, so the venue should be equipped with necessary audio visual equipment such as a laptop, screen, and clicker.
  • Depending on the event’s duration, we typically offer attendees welcome tea/coffee and beverages, concluding with light refreshments and drinks (including alcoholic and non-alcoholic options) during post-event networking.
  • As we charge a fee for event attendance, it is essential that potential venues are comfortable with this arrangement.
  • Recordings of SCL events are a vital resource following an SCL event. With this in mind, please be aware that we record our events via an external team.
  • If the event space is larger, we require a minimum of two roving microphones so that audience can hear questions from the floor. This is particularly important for hybrid events so those watching remotely can hear questions.
  • In addition to roving microphones, we kindly ask that event spaces have table mics for a top table (if we have a panel of speakers) and a lectern mic for an individual speaker.
  • Whilst we will always try to encourage our speakers to present in person, there are some occasions where this may not be possible. Therefore, if your event is hybrid we would kindly ask that the venue is able to facilitate remote speakers.

Hybrid events:

Although our preference is for you to host either in-person or online events exclusively, we understand that there may be instances where you strongly believe in the value of a hybrid event. In such cases, it is vital that we have an event space that is kitted out with all the necessary hybrid equipment.

This includes the following:

  • Fitted cameras
  • Full speaker system
  • In-house laptop with relevant wiring/connections
  • Presentation Screen
  • Please note: All hybrid equipment must be compatible with Zoom. We use Zoom because of its ease of use – and that users don’t have to have a Zoom account to use it.  

Please be aware that if you have agreed with SCL that you will be hosting a hybrid event, it is very important that the chosen venue meets specific requirements. Regrettably, without fulfilling these criteria, we will be unable to hold the event at the selected venue.

To ensure suitability, we kindly request that you consult with SCL HQ regarding your chosen venue. This will allow us to arrange a technical call to confirm its compatibility. We greatly appreciate your understanding and cooperation.

Host a hybrid SCL event – £650 + VAT

There’s a hybrid event and then there’s a really good hybrid event. If you are interested in hosting an event but don’t have all of the hybrid equipment listed above, we have the solution!

SCL has partnered with the media department at St Mary’s University Twickenham to produce really good hybrid events. The cost of this tech support is £650 and is available where your organisation doesn’t have state-of-the-art facilities for running hybrid events. As a huge thank you, sponsors will all receive a high quality copy of the event recording to share with colleagues and clients.

Sponsoring SCL’s Major Events:

We also offer the occasional opportunity to sponsor our major events. Sponsoring SCL events is great value when compared with many other sponsoring opportunities – we don’t charge a premium or aim to cover large-scale overheads, you pay what the sponsored event costs or a proportion of that – and that’s all. For more details please contact maddie.southorn@scl.org
